We are seeking a highly organized, detail-oriented, and reliable Data Entry Associate to join our growing remote team at Positive Behavior Steps. In this role you will be responsible for accurately entering, maintaining, and managing client and organizational data across multiple systems and databases to support our behavioral health programs and daily operations. Your precision and dedication will directly contribute to the quality of care and services we deliver to our clients and their families.
Location: United States (Remote)
Key Responsibilities
- Accurately enter, update, and maintain client records, program data, and operational information across company databases and systems
- Review and verify data for accuracy, completeness, and consistency prior to entry
- Process and manage incoming data from multiple sources including clinical, administrative, and operations teams
- Identify and correct data discrepancies, errors, and inconsistencies in a timely and thorough manner
- Generate and compile data reports for internal departments and management review
- Maintain organized and up-to-date digital records and filing systems in compliance with company policies
- Collaborate with cross-functional teams to ensure data integrity and workflow efficiency
- Assist with data migration, data cleansing, and database management projects as needed
- Handle all client and organizational data with the highest level of confidentiality and in compliance with HIPAA and applicable privacy regulations
- Respond to internal data requests promptly and professionally
- Identify opportunities to improve data entry processes and communicate recommendations to management
- Provide general administrative and operational support as required
Qualifications & Skills
- High school diploma or equivalent required; associate's or bachelor's degree in business, healthcare administration, information technology, or a related field is a plus
- 0–2 years of experience in data entry, administrative support, or a healthcare related role
- Excellent typing speed and accuracy with a minimum of 40–50 WPM
- Strong attention to detail with a high level of accuracy in data entry and record keeping
- Proficiency with Microsoft Office Suite especially Excel, Word, and Outlook
- Experience with electronic health record systems, CRM software, or database management tools is a plus
- Strong organizational and time management skills with the ability to meet deadlines
- Excellent written and verbal communication skills
- Self-motivated, reliable, and able to work independently in a remote environment
- Ability to handle sensitive client and organizational information with discretion and professionalism
- Genuine passion for behavioral health, wellness, and making a positive impact in the community
- Bilingual skills are a welcome bonus
