We are seeking a highly organized, detail-oriented, and reliable Order Entry Clerk to join our growing remote team at Positive Behavior Steps. In this role you will be responsible for accurately processing and managing service orders, maintaining organized records, and ensuring seamless communication between our clients and internal teams. Your efficiency and attention to detail will play a vital role in supporting the smooth delivery of our behavioral health programs and services.
Key Responsibilities
- Accurately enter and process client service orders into the company's order management and CRM systems
- Review and verify order details for accuracy, completeness, and compliance with company policies
- Communicate with clients and internal teams to confirm order details, service schedules, and special requests
- Coordinate with operations, clinical, and administrative teams to ensure timely and accurate service delivery
- Track and monitor the status of all active orders and provide updates to clients and staff as needed
- Resolve order discrepancies, errors, or delays promptly and professionally
- Maintain organized and up-to-date records of all orders, transactions, and client interactions
- Generate and review daily, weekly, and monthly order reports for management review
- Assist with invoicing, billing inquiries, and payment processing as needed
- Identify opportunities to improve the order entry process and communicate recommendations to management
- Handle all client and organizational data with the highest level of confidentiality and in compliance with HIPAA and applicable privacy regulations
- Provide general administrative and operational support to the team as required
Qualifications & Skills
- High school diploma or equivalent required; associate's or bachelor's degree in business, healthcare administration, or a related field is a plus
- 0–2 years of experience in order entry, data entry, administrative support, or a related role
- Strong attention to detail with a high level of accuracy in data entry and record keeping
- Excellent written and verbal communication skills with a professional and friendly tone
- Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
- Experience with CRM software, order management systems, or ERP platforms is a plus
- Ability to multitask and prioritize effectively in a fast-paced remote environment
- Strong organizational and time management skills with the ability to meet deadlines
- Self-motivated, reliable, and able to work independently with minimal supervision
- Ability to handle sensitive client and organizational information with discretion and professionalism
- Genuine passion for behavioral health, wellness, and making a positive impact in the community
- Bilingual skills are a welcome bonus
